Two Containers, One Dining Room, and 600 People in Paradise

How a global tech gathering in Hawaii came together across four countries, three time zones, and twenty years of trusted partnership.

The Brief: Unforgiving Timelines and Global Logistics

Bring 600 people together from four corners of the globe for a week they’d never forget. Flights, hotels, ground transport, activities, catering, content and full production were ours to execute in three and a half months.

It was May 2022. The world was only just remembering how to travel, border regulations were changing daily, and logistics across four countries required round-the-clock precision.

Phase 1: Two Containers and an Ocean

During the pandemic, Hawaii’s local AV inventory had largely been shipped to the US mainland for virtual events. With virtually no high-end production gear available for hire on the island, our team worked with Catalyst to engineer a bold solution: ship the entire production across the Pacific.

Millions of dollars of delicate electronics were double tarped, plastic-wrapped, and braced in two non-watertight shipping containers in Los Angeles, then sent 2,500 miles by sea. Late-night planning sessions bridged California, Scotland, and Sydney to ensure every item was accounted for. Two weeks later in Honolulu, every piece arrived dry, undamaged, and ready to deploy.

"When your only plan is on a container ship 1,000 miles offshore, your plan has to be perfect."

Phase 2: Opening Night at Pearl Harbor

For opening night, we selected an original, historic aircraft hangar at Pearl Harbor. However, with heightened geopolitical tensions at the time, the military base was placed on heightened alert just a week before the event.

Military security initially requested background checks for every staff member and driver. After careful negotiations, our team reached an agreement to focus on key leadership and vendor personnel. Navigating strict access windows, armed escorts for transport vehicles, and delicate rigging rules within a historic structure, the evening went off smoothly, delivering an extraordinary kickoff for 600 guests.

Phase 3: Directing Hawaii from a Scottish Dining Room

The ultimate challenge hit the day before departure: our Event Director tested positive for Covid, making travel to Hawaii a no no. Overnight, Catalyst built a remote viewing and production communications setup in her dining room in Scotland, complete with three monitors, two laptops, and a 7:00 PM to 4:00 AM BST shift schedule, turning it into Event HQ.

When our second Event Manager was quarantined upon arrival in Honolulu, we faced three days of setup with no event managers physically on the floor.

This is where twenty years of agency-vendor partnership pays off. Catalyst’s project lead, Sam, stepped up to manage client liaison, floor logistics, and venue coordination alongside production oversight. Our Event Director cleared isolation and landed on Day 2 to find an event floor prepped flawlessly in her absence.

What 600 People Took Home

  • 100% Delivery: All 600 attendees arrived safely and experienced a seamless week.

  • Core Product Impact: The 24-hour hackathon produced features directly integrated into the client's current software stack.

  • Unshakable Trust: A thrilled client and a demonstration of how true agency resilience delivers results no matter the obstacle.
